eBay Account Management: What an Agency Actually Does Each Month

By Shaheer Khan, founder of Markify Ecommerce

eBay is still a strong marketplace, especially for parts and accessories, collectables, refurbished and used goods, sporting goods and niche products. It rewards sellers who list carefully and look after buyers. That steady, detailed work is what an eBay management agency does, and it helps to know what it involves before you hire one.

1. Listings: titles, item specifics and photos

eBay's search engine (often called Cassini) matches buyers to listings using the title, category and item specifics, and it favours listings that sell and satisfy buyers. An agency will:

  • choose the correct category for each item
  • write titles using the words buyers actually search for, within eBay's character limit
  • fill in every relevant item specific (brand, size, colour, material, part number, compatibility for car parts)
  • use multi-variation listings for sizes and colours where appropriate
  • make sure photos meet eBay's requirements and show the item clearly
  • write clear, mobile-friendly descriptions without external links or active content, which eBay does not allow

2. Promoted Listings

eBay's advertising is called Promoted Listings. The main options are:

  • General (cost per sale): you set an ad rate as a percentage of the sale price and pay only when an item sells through a promoted click within the attribution window.
  • Priority (cost per click): campaigns based on keywords and bids for top placements, where you pay per click.
  • Offsite: eBay promotes your listings on external sites such as Google.

An agency sets ad rates by product margin, tests rates against results, and removes promotion from items that do not need it. The aim is profitable sales, not maximum ad spend.

3. Pricing and offers

  • Checking competitor prices regularly
  • Using Best Offer with automatic accept and decline rules
  • Running markdown sales and volume pricing where they help
  • Sending offers to watchers and interested buyers

4. Seller performance and account health

eBay grades sellers as Top Rated, Above Standard or Below Standard based on transaction defects, late shipments and cases closed without seller resolution. Falling to Below Standard brings higher fees and lower visibility. The agency watches the seller dashboard weekly and acts on warning signs early.

New accounts also have selling limits. See how to avoid eBay limits and restrictions.

5. Messages, cases and returns

  • Replying to buyer messages within a working day
  • Handling "item not received" and "not as described" requests before they become eBay cases
  • Processing returns according to your policy
  • Leaving feedback and following up on negative feedback professionally

6. Shipping and international sales

  • Setting accurate handling times and postage policies
  • Making sure tracking is uploaded on time
  • Setting up international selling. In the US, eBay International Shipping lets sellers send international orders to a US hub, and eBay handles the international leg and customs. In the UK, sellers can offer international postage directly or use eBay's programmes for their marketplace.

7. Stock and multichannel sync

If you also sell on Amazon, Shopify or Walmart, stock must stay in sync to avoid cancellations. See multichannel selling and inventory sync.

8. Reporting

You should get a regular report showing sales, traffic and conversion, ad spend and return, seller level and any issues. A good report also says what the agency changed and what it will do next.

What an agency should not do

  • Ask for your password. They should be added as a user or use proper account access.
  • Use another person's account or identity on your behalf.
  • Promise guaranteed sales or rankings.
  • Manipulate feedback.

Questions to ask before you hire

  1. Which eBay sites do you manage (UK, US, Germany, Australia)?
  2. Who will work on my account, and how many accounts does that person manage?
  3. What exactly is included each month, and what costs extra?
  4. How do you report, and how often?
  5. What is the notice period?
