Ecommerce Virtual Assistant: Tasks and How to Hire One in Lahore
By Shaheer Khan, founder of Markify Ecommerce
Sooner or later every growing seller hits the same wall: there are more listings to fix, messages to answer and reports to read than one person can handle. The usual answer is "hire a VA". But "virtual assistant" covers everything from someone who copies tracking numbers into a spreadsheet to someone who runs a five-figure monthly ad budget. Before you choose between a freelancer, an in-house hire in Lahore or an agency, be clear about which kind of help you need.
What an ecommerce virtual assistant actually does
Most ecommerce VA work falls into three levels. It helps to write down which level you are hiring for, because the cost, the hiring process and the risk are very different.
Level 1: Operations support. Uploading listings from a template, answering routine buyer messages, updating stock and prices, printing labels, chasing suppliers for tracking numbers, and keeping the order sheet tidy. This work needs care and good English, but not deep platform knowledge.
Level 2: Platform specialist. Writing keyword-researched listings, running Amazon Sponsored Products or eBay Promoted Listings, handling A-to-z claims and returns, raising cases with Seller Support, and watching account health. This person needs real experience on your platform, because mistakes here cost money or put the account at risk.
Level 3: Strategy and growth. Deciding which products to launch, setting ad budgets against margins, planning stock for Q4, and spotting policy risks before they become suspensions. This is usually the founder's job, an experienced manager's job, or what you pay an agency for.
A common mistake is hiring at Level 1 rates and expecting Level 2 or 3 results.
Ecommerce virtual assistant task checklist
Use this list to write the job description. Tick the tasks you actually need, then check which level they belong to.
Amazon
- Create and update listings from a flat file, and fix suppressed or stranded listings.
- Plan FBA shipments, print FNSKU and carton labels, and track inbound shipments.
- Pull the weekly Search Term Report and add negative keywords (Level 2).
- Watch the Account Health page and answer performance notifications (Level 2).
Shopify
- Add products, collections and images; keep stock and prices in sync with suppliers.
- Process orders, book couriers and update tracking.
- Answer chat and email, and handle refunds within the rules you set.
- Check the store weekly for broken links, missing alt text and out-of-stock pages.
eBay, Walmart, Etsy and TikTok Shop
- Answer buyer messages within each platform's response-time expectations.
- Handle returns, cases and claims, and keep defect and late-shipment rates in check.
- Copy winning listings across channels and adapt titles to each platform's rules.
Admin and reporting
- Keep the order and stock sheet up to date.
- Chase suppliers and forwarders for dates and tracking numbers.
- Send a short weekly report: sales, ad spend, stock, open cases.
If most of your ticks are in the first lines of each block, you need Level 1 help. If you ticked the advertising and account health lines, you need a Level 2 specialist or an agency.
Option 1: An in-house hire in Lahore
Hiring your own employee works well when you have steady, full-time work and someone who can train and supervise them.
Pros
- They work only on your business and learn your products deeply.
- You set the hours, the processes and the priorities.
- Lahore has a large pool of graduates with good English and some marketplace experience.
Cons
- You carry the full cost: salary, any bonus, a laptop, internet backup for load-shedding, software subscriptions and office space if they are not remote.
- You must train them. If you are not an expert on the platform yourself, you cannot easily check their work.
- One person means one point of failure. Illness, Eid holidays or a resignation can leave the account unattended in the middle of a busy month.
For current salary levels, look at live job adverts on Rozee.pk and LinkedIn for the exact role ("Amazon PPC specialist" pays very differently from "data entry operator") rather than relying on old figures.
Option 2: A freelancer on Upwork or Fiverr
Freelancers are the fastest way to get help, and many are excellent. The platform reviews make it easier to judge them than an unknown CV.
Pros
- You can start within days and pay only for the hours or tasks you need.
- Good for clearly defined projects: 50 listings rewritten, a store theme fixed, an A+ Content set designed.
- Easy to stop if it is not working.
Cons
- A good freelancer usually has several clients. Your urgent problem competes with theirs.
- Quality varies widely, and reviews often reflect small one-off tasks rather than ongoing account management.
- There is no backup when they are unavailable, and knowledge about your account leaves with them.
- Access control matters. Never share your main login; add them as a user with only the permissions they need.
Option 3: An ecommerce agency
An agency gives you a team rather than a person: usually an account manager, a listings or creative person, an advertising specialist and someone senior who reviews the work.
Pros
- Cover for holidays and illness, so your account is never unattended.
- Experience across many accounts, so problems like a listing suppression or a sudden policy change are often familiar.
- Senior oversight and regular reporting are built in.
Cons
- Usually more expensive per month than one junior freelancer.
- You share the team's attention with other clients, so ask how many accounts each manager runs.
- Agencies range from excellent to poor, just like freelancers. See our 10 questions to ask before you hire an ecommerce agency.
How to compare the real cost
Do not compare a freelancer's hourly rate with an agency's monthly fee directly. Compare the total cost of getting the work done well:
- Direct cost: salary, hourly fees or retainer.
- Your time: hours per week you spend training, checking work and fixing mistakes. Put a value on that time.
- Tools: keyword tools, repricers and design software. Agencies often include these; an in-house hire needs their own licences.
- Cost of mistakes: a mis-set ad campaign or a missed account health warning can cost more in a week than months of fees.
Our post on agency vs in-house cost works through this in more detail for Amazon, and how agency pricing models work explains retainers, project fees and revenue share.
Which option fits which seller
- Just starting, under a few hundred orders a month: do the strategy yourself and use a freelancer for defined tasks such as listing creation.
- Steady volume and a founder who knows the platform well: an in-house Level 1 or Level 2 hire, trained and checked by you.
- Growing fast, selling on more than one marketplace, or the founder has no time to supervise: an agency, or an agency for advertising and account health plus an in-house person for daily operations.
- Account in trouble (suspension, IP complaints, sudden drop in sales): specialist help, not a general VA.
Protect your account whoever you hire
- Add people as users with their own logins. Amazon Seller Central, eBay, Shopify and Walmart all support separate users with limited permissions.
- Keep ownership of everything: the seller account, the brand registry, the ad accounts, the domain and the email.
- Ask for a written weekly summary, even a short one.
- Remove access the day someone leaves.
Frequently asked questions
What is an ecommerce virtual assistant?
An ecommerce virtual assistant is a remote worker who handles the day-to-day tasks of an online store or marketplace account: listings, orders, customer messages, stock updates and, at a more senior level, advertising and account health. They can be a freelancer, your own employee or part of an agency team.
Is an agency always better than a freelancer?
No. For a clearly defined one-off task, a good freelancer is often the better choice. An agency makes more sense for ongoing management where cover, oversight and experience across many accounts matter.
Can a VA in Lahore work US hours?
Many do, especially for customer service. Ask for it in the job description, and expect to pay more for night shifts.
